Yemelay Rentals · Last updated 14 September 2026
Yemelay Rentals runs the website at yemelayapts.com and the Yemelay app for phones. Landlords use it to manage their apartments, and their tenants use it to see what they owe, pay, and keep their lease documents. This page explains what information we handle, why, how long we keep it, who else touches it, and what you can ask us to do about it.
We wrote it in plain language on purpose. If anything here is unclear, email info@yemelayapts.com.
Who is responsible for your information
Yemelay Rentals is responsible for the platform itself: your login, the devices you have registered for notifications, and any product feedback you send us.
Your landlord runs their rental business on Yemelay. They decide what to record about your tenancy — your lease, your charges, your meter readings, your signed documents — and when those records are removed. We store and process that information on their behalf and under their instructions. Questions about your lease or your charges go to your landlord; questions about your login or this policy go to us.
Yemelay Apartments, in Pagadian City and Bayog, is one of the landlords using this platform. If you rent from Yemelay Apartments, Yemelay Rentals is both the platform and your landlord.
What we collect
Only what the service needs to work. We do not run analytics or advertising trackers of any kind.
| What | Details | Why |
|---|---|---|
| Account | Name, email address, password (hashed), and your role on the platform | To sign you in and show you the right portal |
| Tenant record | Full name, phone number, email address | So your landlord can reach you and keep your tenancy on file |
| Tenancy | Room, lease start and end dates, rent, deposit, loyalty tier | To run your lease |
| Charges and payments | Monthly charges, due dates, payment announcements, confirmations, deposit use | To tell you what you owe and record what you have paid |
| Meter readings | Electricity and water submeter readings for your room | To calculate your utilities |
| Signatures | The signature you draw on screen, stored as an image with the document you signed | To keep a record that you signed your lease and house rules |
| Devices | A push notification token, your phone platform, and app version | To send reminders to your phone, if you allow it |
| Notification preferences | Which categories of push notification you have switched off | To respect that choice |
| Product feedback | What you write when you report a bug or suggest an improvement | To improve the product |
| Server logs | Request details and error reports, which may include your user id | To keep the service running and secure |
We do not collect government ID numbers, payment card details, or your location. Payments happen outside Yemelay, through GCash or your bank; you tell us you have paid, and your landlord confirms it.
How we use it
- To show you your lease, charges and documents, on the web and in the app.
- To send you reminders when rent or utilities are due, and to confirm payments — by email, and by push notification if you turn it on.
- To let your landlord manage rooms, tenants, leases and charges.
- To keep the service secure and to find and fix problems.
We never sell your information, and we do not send marketing email.
Decisions made automatically
A few things happen on a schedule without a person pressing a button. Charges are generated on the 15th of each month, and a charge that is still unpaid after your grace period is marked overdue automatically. Your security deposit is never applied automatically; only a manager can apply it to an overdue charge, and you are notified when that happens. A manager can review and correct any automated result, and you can ask your landlord to do so.
Who else handles it
We use a small number of well-known providers. Each one processes information only to provide its service to us.
| Provider | What for | Where |
|---|---|---|
| Neon | Our database | Singapore |
| Vercel | Hosting and server logs | Singapore |
| Clerk | Sign-in and account security | United States |
| Resend | Sending email | United States |
| Cloudinary | Storing photos of rooms and buildings | United States and Europe |
| Expo | Relaying push notifications to Apple and Google | United States |
Your information may therefore be stored or processed outside the Philippines. We choose providers that protect it to a standard consistent with the Data Privacy Act, and we remain responsible for it.
People who operate the platform for Yemelay Rentals can access records when needed to run the service or to help you or your landlord. We do not browse tenant records for any other reason.
Our public pages show maps from OpenStreetMap and link out to Facebook Messenger and Google Maps. When you load a map or follow a link, those services receive your request in the ordinary way any website does; we do not send them anything about you.
How long we keep it
| Information | Kept until |
|---|---|
| Your tenancy, charges, readings and signed documents | Your landlord ends your lease, at which point these records are deleted |
| Your login and account | You delete it, your landlord ends your lease, or your landlord’s workspace is permanently deleted |
| Push notification devices | You sign out on that device, your phone tells us the token is no longer valid, or your account is removed |
| In-app notification history | 12 months, or sooner if your account is removed |
| A landlord’s entire workspace | Six months after the landlord closes it, after which everything in it is permanently deleted |
| Product feedback | Kept, without your name or your landlord’s, even after a workspace is deleted, so we can keep learning from it |
| Server logs | A short period set by our hosting provider, typically days |
Deleting your account
You can delete your portal account yourself, at any time, without asking anyone. This removes your login, your sessions, your registered devices and your notification history immediately.
It does not delete your lease, your charges or your signed contract. Those are your landlord's business records, the same as a paper contract would be, and they stay with your landlord until your lease ends. Deleting your account does not end your lease or change anything you owe. The full explanation is on the account deletion page.
Your rights
Under the Philippine Data Privacy Act of 2012 (Republic Act 10173) you have the right to:
- be told what we collect about you and why — this page;
- see the information we hold about you;
- have mistakes corrected;
- ask for your information to be deleted or blocked where it is no longer needed or was unlawfully obtained;
- object to processing, including automated decisions, and have a person review them;
- receive a copy of your information in a usable format;
- claim damages for a violation of your rights; and
- complain to the National Privacy Commission.
For your tenancy records, your landlord decides; send the request to them and we will act on their instruction. For your login and anything else the platform holds directly, email us and we will answer within the time the law allows.
Cookies
The website uses one cookie, set by Clerk, to keep you signed in. It is necessary for the service and we do not use it for anything else. There are no advertising or analytics cookies, so there is nothing to consent to and no banner.
Security
Information travels encrypted between your device and our servers. Passwords are never stored in a readable form. Access to records is limited by role: tenants see only their own tenancy, landlord staff see only their own organization. The app keeps your session in your phone's secure storage.
Children
Yemelay is for adults who rent or let property. It is not directed at anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
When we change how we handle information, we update this page and the date at the top. For a change that matters to you, we will also tell you in the app or by email before it takes effect.
